Our managed IT services were built for businesses that can’t afford IT surprises — and accounting firms are at the top of that list. VJNetworks has managed IT for accounting and CPA firms in Rockland, Westchester, and Bergen counties for 22 years. We know the software, we know the compliance requirements, and when your team calls, the person who answers already knows your setup.

What’s changed

What’s changed for accounting firms and IT.

A few years ago, most small accounting firms could get by with a solo IT person or a general break-fix shop. You called when something broke. They came out. Life moved on. That equation has changed.

The FTC Safeguards Rule now requires every accounting firm — including sole practitioners — to maintain a Written Information Security Plan, or WISP. IRS Publication 4557 sets out mandatory security steps for tax preparers, including multi-factor authentication, documented incident response procedures, and ongoing employee training. Failure to comply carries FTC fines up to $50,000 per violation. And that’s before you factor in what a breach actually costs.

Most general IT providers don’t know any of this. They know networks. They don’t know WISP documentation, IRS e-file security requirements, or what happens to a firm that loses client SSNs three weeks before the April 15 deadline.

Three problems that hit harder

Three IT problems that hit accounting firms differently.

Most IT problems are inconvenient. For accounting firms, the same problems hit harder.

01

Tax-season downtime has no equivalent.

A retailer can push a sale. A contractor can reschedule a job. When your systems go down in February or March, your clients miss filing deadlines. The IRS doesn’t negotiate timing — and clients who miss an extension because their CPA’s portal was offline don’t always come back.

Per the ITRC’s 2025 Annual Data Breach Report, professional services saw attacks rise 39% year over year and 162% over five years.

02

Your data is worth more than you think.

Social Security numbers. Bank account credentials. Payroll data. Complete tax returns going back years. Each identity profile from a breached accounting firm sells for $150–$500 on criminal markets, according to FBI data.

In 2024, the IRS received over 250 breach reports from tax professionals, impacting more than 200,000 clients.

03

Compliance pressure is real — and most firms are behind.

The FTC Safeguards Rule, Gramm-Leach-Bliley Act, and IRS WISP requirements together create a compliance burden general IT shops aren’t built to support. Most firms we talk to have some documentation in place. Few have documentation that would survive a regulator review.

How we support you

How VJNetworks supports accounting firms.

What does managed IT actually look like for a 10-person CPA firm in Spring Valley, White Plains, or Paramus?

Software you run, supported by people who know it.

Your team uses some combination of QuickBooks, UltraTax, Drake, Lacerte, ProSeries, or CCH Axcess. Pair that with Microsoft 365, a document portal, and remote access for staff at home. We know this stack. When UltraTax throws an error three days before a deadline, you won’t get someone who has to Google it.

Security built for financial data, not generic small business.

Endpoint protection on every device. MFA across all systems. Encrypted backups tested before January — not after something breaks. Access controls so a seasonal employee can’t reach files they have no reason to touch. And WISP documentation that reflects what’s actually running, not a downloaded template.

Microsoft 365 and remote access that works.

Hybrid work is the norm now. We configure Microsoft 365 and cloud services for consistent, secure access from any device — same performance in the office as out of it. Remote access that breaks during busy season isn’t remote access; it’s a liability.

Help desk with a 15-minute response.

Not a ticket queue. Not a call center. You call, someone responds in 15 minutes, and that person already knows your network. We’ve worked with some accounting firm clients for over a decade — when your office manager calls, they don’t spend ten minutes explaining your setup.

The one thing we see everywhere

The problem usually isn’t the technology — it’s that nobody documented anything. The solo IT person who set up your server five years ago is gone, and nobody knows why the backup runs Tuesdays at 3am or what the admin password is. We fix that in week one and make sure it never becomes a problem again.

In their words

What accounting firms in Rockland, Westchester & Bergen County say.

★★★★★

“VJNetworks not only design, service and support our systems, but ANTICIPATE our near and mid-term needs and enhancements to maintain the integrity, operations and reliability of our complex business and tax applications.”

★★★★★

“VJNetworks’ honesty is what puts them above and beyond other firms. In the past with other firms I have felt that I was being lied to in order to create unnecessary charges. I spent years managing our firm’s IT myself because I couldn’t find a company I could trust.”

How it works

How it works.

Most accounting firms are up and running — with everything documented and compliant — within 30 days.

1

Network Assessment

We audit your environment: every device, application, and access point. We document what’s running, identify gaps against FTC Safeguards Rule and IRS Publication 4557, and map your software stack before we’ve done a single hour of support.

2

Configuration & Compliance

We configure your environment for your actual tax software stack, set up MFA across all systems, establish encrypted and tested backups, configure access controls, and build out WISP documentation specific to your firm — not a template.

3

Tax-Season Preparation

Before January, we run a full pre-season check. Every server, application, backup, and remote access connection — tested and confirmed before the filing rush begins. No surprises in March.

4

Ongoing Management

One team, one call, 15-minute response. The same technicians who built your environment handle your support. When something comes up at 4pm on April 14th, the person who answers already knows your network.

Is it a fit?

Is VJNetworks the right fit?

Built for firms that…
·Run 5–50 staff across one or more offices in Rockland, Westchester, or Bergen County.
·Use QuickBooks, UltraTax, Drake, Lacerte, or CCH Axcess as part of their daily stack.
·Have outgrown a solo IT person or a general break-fix provider.
·Need WISP documentation that holds up — not a template.
·Want a team that knows their history and responds in 15 minutes.
Probably not if…

You’re a solo practitioner with a single device, no staff, and no client-facing deadlines — a general break-fix relationship is a better use of your budget.

You already have a full internal IT department with dedicated compliance staff. Co-managed IT might be worth a conversation, but you likely don’t need fully managed.

We benefit when you sign with us. If your current setup is working and tax season runs smoothly every year, don’t fix what isn’t broken. But if you’re reading this because something went wrong — or because you know it’s only a matter of time — that’s exactly the situation we were built for.

Before signing

What accounting firms ask before signing.

What happens if our systems go down during tax season?

15 minutes. That’s the response time, any time — not business-hours only. A real person picks up, and that person already knows your systems. We also run a pre-season check every year before January to catch problems before they happen, not at 10pm on a Tuesday in March.

Do you know accounting software like QuickBooks, Drake, and UltraTax?

That’s the practical difference between us and a general IT shop. We know these platforms — how they behave, what error messages mean, and what the common failure points look like during high-volume periods. You’re not going to get first-tier helpdesk reading from a script.

What does a WISP have to do with our IT provider?

Short answer: everything. The IRS requires every tax professional to maintain a Written Information Security Plan under IRS Publication 4557. The FTC Safeguards Rule requires documented security controls, a designated security coordinator, and a formal incident response plan. Your IT provider is responsible for the technical controls that make your WISP accurate. A WISP that says you have MFA and encrypted backups — but doesn’t — is worse than no WISP. We build the controls first; the documentation reflects what’s actually running.

We already have someone who handles IT. Why would we need VJNetworks?

Depends what that means. If you have a single IT person: what happens when they leave, get sick, or go on vacation during filing season? What’s documented? Who has the passwords? A team doesn’t have those single-point-of-failure problems. If you have a general MSP handling your IT alongside a hundred other small businesses: are they running a pre-season check every January? Do they know what Drake or UltraTax looks like when it’s misbehaving? Probably not.

What does this cost?

Pricing starts at $997/month and scales with the size of your firm and the services covered. We don’t publish a full price sheet here because accounting firms vary — a 5-person practice has different needs than a 20-person firm with two locations. Call us at (845) 440-5000 or fill out the form and we’ll put together an actual number for your situation, not a range designed to get you on the phone.

The IRS received over 250 breach reports from tax professionals in 2024, affecting more than 200,000 clients. Professional services firms saw attacks surge 39% year over year in 2025, timed deliberately to peak-season pressure — when firms are most overwhelmed and most likely to pay a ransom rather than miss a deadline.

Don’t let the next filing season look like the last one.

We’ve supported accounting firms in Rockland, Westchester, and Bergen counties for 22 years. 97% of our clients stay — because the same team shows up for the same firms, year after year, and does the job right.
